Vineyard Work Calendar - planning and documentation

Why do I need a calendar?

The calendar is the single place where you can see everything happening in your vineyard. The system automatically adds official regulatory deadlines and reminds you about them well in advance - by email, SMS or WhatsApp!

What can I see in the calendar?

Regulatory deadlines (automatic)

The system automatically shows the key legal deadlines from the EU wine-sector reporting framework:

📋 Statement of completed harvest 15 November Volume of grapes harvested

You won’t miss a single deadline!

Note: exact dates and the list of required filings depend on your country and local wine-market authority. Check the current rules for your region and adjust as needed.

Seasonal calendar

The system also highlights the key moments of the winemaking year:

  • 🌱 March - start of the season, winter pruning
  • ⚠️ 15 March - 14 June - frost season
  • 🌼 June - flowering
  • 🍇 July-August - veraison, ripening
  • 📊 September - Brix measurements, harvest
  • 🍷 11 November - Young Wine festival (St. Martin’s Day)
  • ❄️ November - preparing for winter

Imported events

Everything you import from an iCal file:

  • Vineyard work - pruning, tying, weeding
  • Protective treatments - spraying dates
  • Harvest - planned harvest dates
  • Other events - meetings, inspections, training

Deadline reminders

The system sends reminders automatically! For important deadlines (e.g. regulatory filings) you receive a notification:

  • 30 days before - time to prepare your documents
  • 7 days before - last chance to complete everything
  • 1 day before - deadline tomorrow!
  • On the day - final reminder

How do I set up reminders?

  1. Go to Settings > Alerts
  2. Make sure you have entered an email address and/or WhatsApp number
  3. Calendar reminders are enabled by default

You can turn reminders off in the settings (the “calendar_reminders_enabled” field).

How do I add events?

Import from an iCal file (.ics)

You can import a calendar from other apps:

  1. Go to Calendar
  2. Click Import
  3. Choose an .ics file (from Google Calendar, Apple Calendar, Outlook…)
  4. Click Import

The system will load all events from the file and assign categories to them automatically.

Where do I get an iCal file?

  • Google Calendar: Calendar settings > Export > Download .ics
  • Apple Calendar: File > Export > Export…
  • Outlook: Calendar > Share > Save to file

Calendar views

Month

The classic grid. Coloured dots mark days with events:

  • 🔴 Red - legal/regulatory deadlines
  • 🔵 Blue - production
  • 🟢 Green - vineyard work
  • 🟠 Orange - alerts
  • 🟣 Purple - seasonal events

List

A chronological list of all events. You can filter by category.

Filtering

Lots of events? Use the filters:

  • Click a category in the legend to show only that type
  • Move between months with the arrows
  • Click “Clear filter” to see everything again

Tips

  • Regulatory deadlines are already loaded - you don’t have to add them by hand
  • Export your calendar from another app - if you keep a schedule in Google Calendar, export it and import it here
  • Check upcoming deadlines - the “Upcoming” section on the dashboard shows what’s ahead
  • Set up WhatsApp - reminders will reach your phone too!
